Pre-Printing Epson Badges in Bulk
Epson badges cannot be printed directly from the Attendees tab in the Event Dashboard the way Badge Label and Direct Thermal badges can. Instead, the best way to pre-print Epson badges in bulk is to export them as badge singles using the Badge Sheets feature, then send the exported PDF to your Epson printer from your computer.
This article walks through that process. The first time you do it, expect 10–15 minutes of one-time computer setup before you can print. Once that’s done, future events only need the PheedLoop export and print steps.
These instructions are specifically for macOS. Windows steps differ slightly at the OS level (driver install, paper size dialog, system print dialog), but the core concept — exporting from PheedLoop, then printing the downloaded PDF through the system print dialog — is the same on either platform.
Before you start, make sure you’ve completed the following:
- Your Epson badge template is built in the Badge Label Designer. See Setting Up Your Badge Label Template for On-Site Printing.
- Your Epson printer is unboxed, powered on, and connected to the same Wi-Fi network as your computer. See Setting up your Epson Kiosk.

Step 1 — Setting up your computer
These settings are configured on your computer. If you’ve already configured them for a previous event, skip to Step 2.
1.1 - Download the most recent Epson CW-C4000U driver from the Epson download center.

1.2 - Open the download file and double-click the EPSON Printer.pkg to install it.
1.3 - Once installed, add the Epson printer to your computer’s Printers & Scanners list.
a. Select Apple menu (top left) > System Settings > Printers & Scanners.
b. Select Add Printer, then select your Epson from the list of available printers.
Important: The Epson must be powered on and connected to the same network as your computer. If either condition isn’t met, the printer won’t appear in the list of available printers to add.
1.4 - Configure the Auto Cut setting for your Epson printer:
a. Open Printers & Scanners, select your Epson, then open Options & Supplies > Options.
b. Under Auto Cut, select your preferred cut method:
- Cut (after printing last label): badges are cut as they print
- Do not cut (stop at cut position): the stack stays continuous for manual tear off
Step 2 — Export your badges from PheedLoop
2.1 - From the Event Dashboard, navigate to OnSite > Badges & Printers > Badge Sheets.
2.2 - Select the checkboxes of all attendees whose badges you want to pre-print.
Tip: Use the select-all checkbox at the top of the table to grab your full attendee list, then deselect anyone who shouldn’t be included (e.g., attendees who haven’t completed registration).
2.3 - Above the table, select Actions > Export Label Singles.
2.4 - Under Badge Template, select your Epson badge template.
2.5 - Select Export.
A PDF will download to your computer with one badge per page. For large attendee lists, this can take up to a minute to generate.
Step 3 — Print from your computer
3.1 - Open the downloaded PDF in your browser or a PDF viewer.
3.2 - Open the print dialog (File > Print, or Cmd+P).
3.3 - If you’re printing from Chrome (or another browser with its own print UI), expand More settings and select Print using system dialog... at the bottom. This step is easy to miss but required — the browser’s built-in print dialog does not expose the custom paper size you’ll create in the next step.
3.4 - Under Printer, select your Epson printer.
3.5 - Create a custom paper size for Epson badge stock. Under Paper Size, select Manage Custom Sizes... at the bottom of the dropdown. Select the [+] button and enter:
- Width: 101.6 mm
- Height: 303.8 mm
- All margins: 0 mm (top, bottom, left, and right)
- Save the preset as Epson Paper (or another name you’ll recognize)
Once saved, the preset is available in the Paper Size dropdown of any app’s print dialog going forward. You only need to create it once.
3.6 - Under Paper Size, select the Epson Paper preset you just created.
3.7 - Select Print.
Badges will print one per page. Make sure your badge stock is loaded in the Epson printer tray before printing.
